Privacy Policy

This Privacy Policy applies to applications developed and operated by Einbrain Lab ("we", "us", or "our"), including the AIM4ALL DSL Chat Google Docs Add-on ("the Add-on"). By using the Add-on, you agree to the practices described in this policy.

1. Information We Collect

When you use the Add-on, we may collect the following information:

• Chat messages: The text you type in the Aspen peer mentor chat interface.
• Document context: The title of your Google Doc and any text you have selected, if you enable the "Use doc context" feature.
• Session identifiers: A randomly generated session ID used to group messages from the same conversation.
• Timestamps: The time each message was sent.

We do not collect your name, email address, or any other personally identifiable information through the Add-on.

2. How We Use Your Information

The information collected is used solely for the following purposes:

• AI responses: Chat messages are sent to the OpenAI API to generate peer mentor responses from Aspen. OpenAI's privacy policy applies to this processing: https://openai.com/privacy.
• Educational research: Anonymized conversation logs are stored in a secure database (Google Firestore) and may be used for academic research on AI-supported learning in STEM education. Data is never attributed to individual identities.

3. Data Sharing

We do not sell, rent, or share your data with any third parties for commercial purposes. Data is shared only with:

• OpenAI: To generate AI responses (chat messages only).
• Google Firestore: For secure storage of anonymized session logs.

4. Data Retention

Session logs are retained for the duration of the research study. After the study concludes, data may be retained in anonymized, aggregated form for publication purposes. You may request deletion of your session data by contacting us at the email below.

5. Google API Scopes

The Add-on requests the following Google permissions:

• documents.currentonly: To read the title and selected text of your current Google Doc for context-aware responses.
• script.container.ui: To display the Aspen chat sidebar inside Google Docs.
• script.external_request: To communicate with the OpenAI API and Google Firestore via secure HTTPS requests.

These permissions are used only as described above and for no other purpose.

6. Children's Privacy

This Add-on is designed for use by middle school students as part of a supervised educational program. No personally identifiable information is knowingly collected from minors. Student use is managed by their school or teacher as part of the AIM4ALL research program.

7. Security

All data transmission is encrypted via HTTPS. Access to the Firestore database is restricted to authorized service accounts. We take reasonable measures to protect stored data from unauthorized access.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted at this URL with an updated effective date.
